Integration with Outlook

Reztec versions since 2.1.32 have support for the Microsoft Outlook Exporter. Not only does this keep Reztec and Outlook in sync but also lets you put your data onto your mobile phone or your PDA using Microsoft's ActiveSync.

The exporter makes sure that Outlook shows your Reztec Actions (becoming Outlook To-Dos), your Reztec Meetings and Activities (becoming Outlook Appointments) and your Reztec People (becoming Outlook Contacts).

However, as your average Reztec installation contains many thousands of people, we needed to filter some out to stop Outlook (or even worse, your phone) becoming overloaded. Therefore, rather than extract all people, the exporter looks at:

• all people attached to organisations where you are the account manager
• all people in a marketing group that is named the same as your Reztec user name.

The first is to make sure that anyone you are responsible for is automatically transferred across. The second is to allow arbitrary groups of people (especially individuals who are not attached to an organisation) to be transferred across.

So, if your user name was "Dave Jones", create (or ask your administrator to create) a new marketing group, also called "Dave Jones". Then put the people you want into this new group, run the exporter and you should see them in Outlook!

For reference, the following data is extracted from Reztec and transferred into Outlook:

• All your incomplete actions
• All your actions that you completed within the last month
• All your future meetings and activities
• All meetings and activities you have been booked to in the last month
• All people attached to organisations for which you are the account manager
• All people that are in a marketing group matching your username.

This facility may not be part of your standard installation, so if you could like to implement it, please call your Account Manager.
